Job Title: Client Support Executive

Job Purpose:

The Client Support Executive will be responsible for handling customer inquiries, resolving service issues, coordinating with internal departments, and ensuring a smooth customer experience. The role focuses on maintaining strong client relationships, timely communication, service follow-ups, and accurate documentation to support logistics and transport operations.

Key Responsibilities:

  • Customer Handling & Communication
  • Attend incoming calls, emails, and messages from customers professionally.
  • Provide accurate information regarding shipments, deliveries, service timelines, and charges.
  • Maintain polite, clear, and solution-oriented communication at all times.
  • Issue Resolution & Complaint Management
  • Register customer complaints and service concerns promptly.
  • Coordinate with operations, drivers, and warehouse teams to resolve issues.
  • Ensure timely closure of complaints and follow-up with customers for satisfaction confirmation.
  • Shipment Tracking & Updates
  • Track consignments and provide real-time status updates to customers.
  • Inform customers about delays, reschedules, or service changes proactively.
  • Ensure accurate communication of delivery confirmations and POD details.
  • Customer Records & Documentation
  • Maintain proper records of customer interactions, complaints, and resolutions.
  • Update CRM systems, Excel sheets, or internal registers regularly.
  • Prepare daily reports on calls handled, complaints received, and cases resolved.
  • Coordination with Internal Teams
  • Work closely with operations, billing, and accounts teams for service-related matters.
  • Support smooth handover of customer requirements to internal departments.
  • Escalate unresolved cases to seniors as per company process.
  • Service Quality & Customer Retention
  • Ensure high customer satisfaction through timely response and resolution.
  • Build strong relationships with regular clients and transport partners.
  • Collect customer feedback and suggest service improvement measures.
  • Administrative Support
  • Assist in preparing service reports, customer feedback summaries, and call logs.
  • Support documentation related to service contracts, invoices, and service queries.
  • Maintain confidentiality of customer and company data.
